The Institute for Creative Arts (ICA) at the University of Cape Town (UCT) is looking to hire a highly motivated, independent and resourceful individual to serve as the ICA’s Project Manager. The individual would be expected to strategise, plan, oversee and implement programmes initiated by the Director, and to manage administrative, technical and support staff to ensure the smooth running of the ICA’s events and projects.

DUTIES:

Primary point of contact:

  • Serve as the public and university community’s primary point of contact with the ICA, which includes responding to email, phone call and in-person queries from members of the public, UCT staff and students, guest speakers, artists, technicians, project participants etc.

Strategic and curatorial input:

  • Develop timelines for events and projects and oversee the meeting of deadlines
  • Provide curatorial assistance where needed for events, festivals, exhibitions and programmes
  • Provide strategic input, solicitation and administrative assistance in the submission of funding proposals
  • Co-ordinate the ICA’s Board and Advisory Panels

Postgraduate programme:

  • Serve as MA & PhD students’ first point of contact with the ICA
  • Assist the Director in the co-ordinating and running of the ICA’s postgraduate programme, which includes handling course administration, admissions procedures and responding to enquiries from potential applicants 
  • Manage the allocation of student scholarships in line with the Director’s requirements and instructions

Office maintenance & meetings:

  • Ensure the smooth running of the ICA’s office and workflow, which includes setting the agenda for weekly ICA staff meetings
  • Ensure the office is equipped with the necessary stationery and liaise with UCT staff members who are responsible for cleaning the ICA offices 

Events:

  • Facilitate production meetings for events and festivals with the Director, technical support, marketing and other stakeholders
  • Source and manage ad hoc staff where the scale of a particular ICA project necessitates the hiring of additional staff
  • Serve as the key point of connection between ad hoc staff members, the ICA Director and the ICA's permanent staff

Budget & Funding:

  • Liaise with the ICA Director and the ICA's Financial Manager to ensure that all project spending is implemented in line with the approved budget
  • Ensure that all support staff are paid on time and submit all relevant financial documentation (invoices, proof of banking details, etc) in line with UCT policies 

Bookings:

  • Oversee the booking, use and preparation of Hiddingh Hall
  • Secure other venues for talks, performances and ICA events taking place on Hiddingh Campus, which entails liaising with the Centre for Theatre, Dance and Performance Studies
  • Book flights, accommodation and airport transfers for (amongst others): ICA Fellows, visiting artists and guest speakers

Publicity:

  • Assist the ICA researcher and technical staff in managing the ICA website and other publicity channels

REQUIREMENTS:

  • Relevant university degree and post graduate qualification
  • Five years relevant experience in a professional environment 
  • Experience in a University, or comparable Educational or Arts Institution
  • Knowledge of the University’s Financial and Post-Graduate Student policies and procedures will be a recommendation
  • Apple iMac literacy and proficiency in Word, Excel and PowerPoint; Simple accounting; Database management; Spreadsheets; E-mail; Internet; Website administration and social media; Basic DTP and photo editing.
  • Some graphic design experience

PERIOD OF EMPLOYMENT: 

  • Twelve-month contract starting 1 February or 1 March 2021, renewable

WORKING CONDITIONS:

  • The Project Manager will be based on UCT’s Hiddingh campus in Cape Town, but projects will sometimes take them to non-standard workplaces and sites.
  • The Project Manager will sometimes be required to work evenings and weekends to meet project deadlines – particularly in the lead up to, and during, events such as the ICA Live Art Festival.
